Transforming Legal Document Drafting with AI for New Frontier Immigration Law 

How we built a customized AI solution to automate legal document drafting for a leading immigration law firm to help victims of trafficking. 

The Scenario

In the highly sensitive and specialized field of immigration law, New Frontier Immigration Law stands out for its dedication to helping victims of trafficking and domestic abuse file T-visa, U-visa, and VAWA declarations. These cases often involve graphic and traumatic experiences, making the drafting of declarations a time-consuming and emotionally taxing process for the attorneys. 

Challenges:

New Frontier Immigration Law initially sought to leverage AI, specifically ChatGPT, to help draft these declarations. However, they encountered significant hurdles: 

  • Content Filters: ChatGPT’s content filters were too restrictive, preventing the generation of necessary but graphic content. 
  • Confidentiality Concerns: Maintaining client confidentiality while using external AI tools was a major concern. 
  • Efficiency: The team needed a solution to streamline the document drafting process and reduce the time attorneys spent on repetitive writing tasks.

Leverage Microsoft Copilot Studio to create an AI-assisted workflow that generates first drafts of sensitive case documents while maintaining confidentiality.

The Result

Saved attorneys an average of 2 hours per day, allowing them to focus on high-value tasks and better serve clients.

Our Comprehensive Strategy:

To address these challenges, we devised a comprehensive solution using Microsoft Copilot Studio, integrating New Frontier’s internal Microsoft data storage and tools. 

1. Needs Analysis and Workflow Planning

We began with a thorough assessment and planning phase to understand New Frontier’s specific needs and case intricacies. This involved identifying key pain points and desired outcomes, as well as the specifics of what is involved with drafting each declaration. Through iterative testing and feedback with small scale products, we refined the prompt engineering and workflow processes to ensure they met the firm’s requirements before moving on to production.

2. Integration Using Existing Client Infrastrucure

One of the main goals for the client was to be able to keep as much information and daily workflows inside of the existing channels they were already using, specifically within the Microsoft environment. Leveraging Microsoft Copilot Studio, we developed a workflow that combined hard-coded automation with AI prompting using OpenAI. This allowed for the seamless creation, storage, and modification of draft declarations. 

3. Creative Prompt Engineering for Sensitive Outputs

Because of the sensitive nature of T-Visa and VAWA cases, mostly dealing with graphic trauma and abuse, many AI models will refuse to create content relating to it. We creatively engineered prompts to bypass OpenAI’s content filters, enabling the generation of first-person perspective draft content suitable for review by attorneys. 

The Outcome: 

Utilizing our innovative approach, which combined Microsoft Copilot Studio with New Frontier’s existing infrastructure, we achieved remarkable enhancements in the firm’s operational efficiency and client service.

Key Highlights:

  • Time Savings: The new system saved each attorney a minimum of 2 hours per day. Across 15 team members, this equated to approximately 7,800 work hours saved annually.
  • Enhanced Productivity: Attorneys could focus more on high-value tasks such as case review and material preparation, rather than repetitive document drafting.
  • Improved Workflow: The integrated solution provided a seamless and efficient workflow, reducing stress and increasing overall job satisfaction for the attorneys.
  • Confidentiality and Security: By leveraging the firm’s existing Microsoft infrastructure, we ensured client confidentiality was maintained throughout the process.
  • Positive Feedback: Attorneys appreciated the system for its ease of use and the significant time savings it provided, allowing them to better serve their clients.

Conclusion: A New Approach to Legal Drafting 

By taking the time to understand the fine details of the drafting process, and using an iterative deployment process, we were able to gradually refine and polish the drafting tool to become an essential part of the workflow moving forward. This project highlights our focus of leveraging practical AI solutions to drive innovation and change in existing business operations, enabling clients to focus on their core mission and deliver exceptional service to their clients.
